How to choose a PMS for an independent hotel
A practical framework for evaluating property management systems when you are not tied to an enterprise brand or a legacy contract.
Independent hotels rarely need the same PMS as a large chain. Chain systems are frequently built for central procurement, brand-standard reporting and integration with corporate reservation networks the property does not control. An independent hotel is usually better served by something built around how a small, hands-on team actually works.
Start from your workflow, not the feature list
Before comparing feature lists, write down how a booking actually moves through your property today: where it comes from, who confirms it, who assigns the room, who checks the guest in, and who closes the day. Any PMS you shortlist should make that specific sequence easier, not force you to redesign your operation around the software.
Pay particular attention to front desk speed. Reception staff use this screen dozens of times a shift; a system that takes five extra clicks per check-in adds up to real time lost every single day.
Questions worth asking before you commit
How does the system handle housekeeping status, and does it update in real time for the front desk? Can more than one staff member work in it at once without conflicting edits? Does it support the way you actually price rooms — seasonal rates, length-of-stay rules, packages? And critically: if you outgrow a single property, does the same account and login structure support a second one, or do you start again from scratch?
Room-based vs bed-based accommodation
Not every PMS models inventory the same way. A boutique hotel typically sells whole rooms; a hostel often sells individual beds within a shared room, which is a materially different inventory model. If your property mixes private rooms and dorm beds, confirm the PMS actually supports bed-level inventory rather than approximating it with room-only logic.
